Overview
Roles and permissions help ensure that educators in Aula have the right level of access, aligned with how responsibilities are set up at their institution. This reduces confusion, prevents accidental changes, and makes it clearer what actions you can take in each Aula space.
Please note:
Permissions apply only to the Materials area,
Your access is based on the role assigned to you by your institution,
Your role is displayed on the Materials page in each Aula space,
If an action isn’t allowed for your role, it will either be hidden or disabled,
You’ll see clear messages or tooltips explaining why certain actions aren’t available.
How to Create a New Role
If you are an admin at your institution, you can create new roles in Aula by following these steps:
Head to the Admin Dashboard.
In the top-left corner, click the Menu icon.
Select Manage Roles.
Click Add New Role.
Enter the Role Name (or Role Title) and add a Description for reference (optional but recommended).
Select a Fallback Role — either Educator or Student.
Use the checkboxes to choose the permissions you want to enable for this role. You can select as many permissions as needed.
Click Save Changes.
The new role will now be available to assign to users.
How to Assign a Role to a User
If you are an admin at your institution, you can assign a role to a user by following these steps:
Head to the Admin Dashboard.
In the top-left corner, click the Menu icon.
Select Manage Roles.
Click Assign Role.
Search for the user, then use the dropdown to select the role you want to apply.
Click Next Step.
Search for and select the space where you want the user to have this role.
Click Confirm.
The user will now have the permissions associated with their new role.
How to View Existing Roles
If you are an admin at your institution, you can view existing roles in Aula by following these steps:
Head to the Admin Dashboard.
In the top-left corner, click the Menu icon.
Select Manage Roles.
You will see a list of all Existing Roles, including:
Role Title
Number of users assigned to the role
Permissions assigned to the role
Edit Role
Delete Role
Note
The Users column reflects how many times a role has been assigned across spaces, not the number of unique individuals. A single user may be counted multiple times if they hold the same role in more than one space.
What Educators See in Aula
Navigate to your Space and click the Materials tile.
At the top of the page, you will see a label showing your Role Title.
Click Permissions to view the permissions currently assigned to your role.
